DEPARTMENT OVERVIEW

The Office of General Counsel (OGC) delivers ethical, timely, efficient and high quality legal services to the University of California ten campuses, five medical centers, and the Lawrence Berkeley National Laboratory, as well as to the Board of Regents, the President, the Chancellors and other officers of the University. Its services include prosecuting and defending litigation, drafting and negotiating agreements, providing advice, counsel and interpretation of laws, regulations and policies, and assisting with development of effective compliance and risk mitigation strategies to facilitate the University's complex operations.

POSITION SUMMARY

The Legal Support Specialist 4 provides legal support to attorneys and paralegals. Acts as liaison between university clients and OGC attorneys and paralegals. Carries out a wide range of analytical and administrative tasks. Drafts and edits for review by attorneys and paralegals various legal documents. Prepares and files legal documents with appropriate entities, as required. Technical leader with a high degree of knowledge in the legal industry. A recognized expert in specific legal practice areas; problem-solving frequently requires analysis of unique issues / problems without precedent and / or structure. May manage internal and external committees and programs that include formulating strategies and administering policies, processes, and resources; functions with a high degree of autonomy. Supports internal hiring and management for Managing Counsel regarding all associated legal and administrative compliance and duties for team(s). Responsible for onboarding, and the ongoing training and mentoring of other practice support team members.

Key Responsibilities

  • 25% Supports Managing Counsel's internal administrative responsibilities related to hiring, onboarding, recruiting, and all administrative compliance necessary to successfully develop and manage managing counsel's team of direct reports.
  • 50% Performs high-level attorney support activities to include scheduling executive meetings, calendaring, preparing/drafting, editing, saving and distributing legal documents, performing legal research of moderate complexity, drafting correspondence. Prepares reimbursements, arranges travel, and completes and submits all documentation regarding same.
  • 15% Trains other Legal Support Specialist and Coordinator teammates in practice team and UC Legal practice group responsibilities and processes. Coordinates and participates in interview panels for new Legal Support staff and Principal Counsel attorneys. Practices OGC's established Values for Principles of Community: collaborative, supportive, respectful of differences, and committed to fairness and diversity in all interactions, both within and outside the team.
  • 10% Works to implement more efficient/new processes and technology as needed for team. Actively participates in implementation of new office-wide technology as an expert user to support needs of the practice group or department; serves in test groups to pilot new systems.

Required Qualifications

  • Minimum of 8 years of progressively responsible journey-level administrative support experience within a legal department or law firm; or an equivalent combination of education and experience.
  • Litigation LSS4 team members must possess thorough knowledge and practical experience managing legal administrative support for multiple attorneys in all phases of litigation matters in State and Federal court venues as well as public agencies. This includes pre-litigation work, discovery, motion work, trial and post trial/post judgment management. Transactional LSS4 team members must possess thorough knowledge of and practical experience in specialty practice areas that may include corporate, real estate, and other non-litigation legal transactional matters to include but not limited to managing real estate transactions, closings, trust & estate matter management, regulatory compliance, employment and labor contract management, and other specialty work in non-litigation areas of practice.
  • Demonstrate Legal Administrative Assistant skills.
  • Demonstrate high level of attention to detail and time management.
  • Ability to schedule meetings and conference calls with multiple parties and arrange travel.
  • Expert communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
  • Expert level knowledge of legal terminology.
  • Demonstrated proficiency in computer software applications, including MS Office (Word, Excel, and PowerPoint), and other legal support software as needed.
  • Demonstrate knowledge of filing and record tracking systems, both paper and electronic.
  • Strong skills to research and problem-solve to obtain information or data from various sources and materials and organize with excellent attention to detail into a comprehensive package.
  • Ability to multitask with demanding priorities and timeframes.
  • Ability to use high level of discretion and maintain all confidentiality.
  • Knowledge of Litigation process, protocols and procedures.

Preferred Qualifications

  • Litigation experience is desirable Coursework towards a paralegal certificate.
  • Knowledge of UC processes, protocols and procedures.
  • Knowledge and experience with Administrative agencies processes, protocols and procedures.
  • Basic knowledge of document management systems.
  • Knowledge and experience with Business Transactions/Land Use/Real Estate, Educational Affairs, Health Law, Labor, Employment and Benefits, Professional Liability, General Liability, Employment Liability, Public Accountability and Governance, Intellectual Property, Construction Basic knowledge of Lexis-Nexis

Education

  • Associate degree in related area and / or equivalent experience / training required

SPECIAL CONDITIONS

The person hired will be required to reside within California and report to work on-site at UC's Office of the President (UCOP) located in Oakland, CA on a regular basis. Current policy requires that a new employee work on-site at least two days a week on Tuesdays and Wednesdays ("anchor days").

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
