GENERAL SUMMARY:

Provides administrative support and event planning for the Office of the Registrar as well as coordinates student registration processes.

PRINCIPAL JOB FUNCTIONS:

1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values.

2. *Serves as the initial contact for the Records & Registration Office which includes greeting and directing visitors, assisting with appropriate paperwork, answering the phone, and resolving routine administrative issues related to office functions using established college policies and procedures.

3. *Monitors the registrar email account by responding to emails in a timely manner and making referrals as necessary.

4. Assists with the management and maintenance of the department website.

5. *Organizes and maintains electronic and paper academic records for Bryan School of Nursing, Lincoln General Hospital School of Nursing, BryanLGH College of Health Sciences and Bryan College of Health Sciences; implements document-imaging procedures for department.

6. *Maintains CPR and CNA documentation within the student information system

7. Implements document-imaging procedures for department utilizing the shared drive and/or student information system.

8. Responsible for accurate and timely processing of student academic records, enrollment and degree verifications as requested by students, subpoenas and other entities which include monitoring the integrity of academic records and transcript files, preparing official transcripts and letters, and confirmation of student status.

9. Assists with event planning as requested for new student registration and the commencement ceremony which can include securing the location, program and other duties.

10. Processes and manages enrollment for non-degree seeking students registering for CNA and Phlebotomy.

11. Updates student demographic, contact and legal information within the student information system as requested by student, ensuring that appropriate official documentation is submitted.

12. Supports the registrar with updates to the college catalog on the college website.

13. Processes all incoming official transcripts (high school, college) which includes uploading into the student information system and communicating to other departments and staff when transcripts are processed.

14. Provides support to the assistant registrar for transfer credit processing.

15. *Complies with Family Educational Rights and Privacy Act (FERPA) in fulfillment of duties.

16. Processes approved registration changes (add/drop/withdrawal) within the student information system.

17. Provides service excellence through courteous, informed, accessible and professional engagement.

18. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.

19. Participates in meetings, committees and department projects as assigned.

20. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of general office procedures and standard clerical techniques.

2. Knowledge of computer hardware equipment and software applications relevant to work functions.

3. Skill in utilization of spreadsheet and word processing software.

4. Ability to exercise courtesy, tact and professionalism in receiving office callers and visitors.

5. Ability to organize and maintain filing systems.

6. Ability to prioritize demands and work with minimal supervision.

7. Ability to maintain confidentiality relative to sensitive information.

8. Ability to compose and maintain correspondence, memorandums and routine letters giving attention to detail.

9. Ability to establish and maintain effective working relationships with all levels of personnel and medical staff.

10. Ability to communicate effectively both verbally and in writing.

EDUCATION AND EXPERIENCE:

High school diploma or equivalency required. Completion of a two-year business school training program with focus on personal computers preferred. Minimum two (2) years experience in an administrative support role required. Prior work experience in higher education preferred.
