Primary Purpose of Position
The Executive Assistant provides higher level administrative support & office management to the School of Architecture's Director, 25 full time faculty members, 10 PT Faculty and 400 undergraduate and graduate students.
Minimum Education/Experience
Required Minimum Qualifications:
Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience.

University Preferred Qualifications:
Graduation from high school and demonstrated knowledge, skills and abilities gained through four years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and two years of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field and one year of progressively responsible administrative/office management experience; or an equivalent combination of training and experience.
Essential Job Duties

  • Maintains the Director's calendars.
  • Plans and coordinates various events throughout the year.
  • Assists Director with managing personnel records management for staff and faculty.


Other Work Responsibilities

  • Assists the Director with communications with the faculty, staff, and students of the SoA
  • Assists the Director with coordination with College of Arts + Architecture administrative, development, and communications staff
  • Manages in person and online meetings, lectures, colloquies, graduation and other events, including preparing documents and logistics for those meetings
  • Travel planning, logistics, and approvals for the Director and guests of the SoA

Departmental Preferred Experience, Skills, Training/Education

  • Bachelor's degree.
  • Administrative experience preferably in Higher Education and / or in a creative / design environment
  • Experience supporting executive leadership
  • Experience with Microsoft Office Suite and Google Workspace.
  • Experience with managing websites and social media accounts for a department/organization.
  • Experience with University systems and procurement policies.
  • Excellent verbal, written, presentation communication skills.
  • Excellent interpersonal skills, including interfacing with public.
  • Ability to work with a team to prioritize, multitask, and adapt within a fast-paced environment.
  • Strong customer service
  • Ability to maintain strict confidentiality and practice discretion.
