Essential Job Functions
The Sustainable Technology and the Built Environment department provides an integrated array of programs spanning the fields of sustainable design and technology. We have developed a reputation for innovative research and sustainable development in the areas of construction and building science, renewable energy, and other sustainable technologies.
The primary purpose of the Administrative Support Associate is to perform a variety of program and administrative tasks in support of the Department's students, mission and Departmental Chair.

Duties and responsibilities of the position include:

  • Helping the Assistant Department Chairperson with course schedule build/overrides (in Banner)
  • Helping the Assistant Department Chairperson with internship paperwork
  • Maintaining student academic advisor assignments
  • Managing textbook order
  • Updating the department website and social media
  • Helping the Department Chairperson with a Newsletter for alumni/donors
  • Hiring, supervising and mentoring student employees
  • Liaising with the Office of Student Employment to secure work-study funding
  • Managing phone, email, and in-person contacts in the department

Knowledge, Skills, & Abilities Required for this Position

  • Proficient with software packages including Microsoft Office Suite and Google Apps (including Form development)
  • Ability to handle a wide variety of requests with a positive attitude when assisting students, faculty, and staff
  • Proficiency with technology, problem-solving, and developing workflows
  • Organized work habits with experience assisting others in an office environment
  • Ability to multitask
  • Strong belief in customer service

Preferred Qualifications

  • Proficiency with developing Google Forms/applications and Excel
  • Ability to multi-task and prioritize work in an ever-changing environment

Required Functional Competencies to Successfully Perform Job Duties.
Communication-Verbal:
This is a student-facing position and serves as the office receptionist. They must greet faculty, staff, students, and guests and assist them with questions. Schedule and coordinate student tours. Consult appropriate resources as needed to complete tasks. Manage the office supplies and work with the Administrative Lead in ordering supplies as needed. Manage the departmental copier and copier supplies. Communicating effectively with students to convey the process needed to complete forms and explain the flow of campus procedure. Serve as an effective part of the Sustainable Technology and the Built Environment office team assisting faculty and staff in day-to-day procedures.
Information/Records Administration:
Using departmental and university policies and procedures, maintain student records, process registration information, and maintain advisor/advisee assignments in Banner. Also, process permits/overloads/special course forms for registration each semester.
Problem Solving:
Identify and recognize problems that require research and review of policies and procedures. Use sound judgment for problem-solving and obtaining approval from appropriate personnel when needed.
Pay will be commensurate with applicant competencies, budget, equity and market considerations.
