Purpose of Position

To provide essential administrative support to the Office of Advancement Services and to UT System institutions in the areas of gift acceptance and administration as it relates to endowments, non-probate assets, appreciated stock, records management, and institution support. Heavy emphasis on data entry in a variety of formats.

Essential Functions

  • Conducts required activities related to acceptance and administration of non-probate assets by providing prompt, highly specialized, professional service to institutional partners and external financial institutions
  • Coordinates acceptance and administration of gifts of securities
  • Serves as a key resource to internal and external partners, providing responsive and knowledgeable customer service related to gift administration
  • Assists the Advancement Services team with a variety of gift related functions including creating and maintaining permanent gift records and electronic records in specialized databases
  • Other duties as assigned
Knowledge, Skills & Abilities

  • Exceptional attention to detail
  • Demonstrates problem-solving skills in daily tasks
  • Ability to provide timely and professional customer service to institution partners, professional financial advisors, and donors
  • Must have strong telephone communication skills
  • Ability to establish priorities and manage multiple projects at once
  • Knowledge of general fundraising vehicles and types of philanthropic gifts
  • Experience with CRM or other database platforms
  • Experience with Microsoft Office suite applications
  • Commitment to maintain confidential information
  • Ability to complete assignments with a high degree of accuracy
  • Ability to work in a team setting and be adaptable to changing priorities based on institution and donor needs
Required Qualifications

  • Bachelor's degree with three (3) years' relevant work experience in the non-profit or higher education sector as it relates to philanthropy, advancement services, financial or legal responsibilities
  • Each year of experience may substitute for one year of college (30 semester hours) on a year-for-year basis
Preferred Qualifications

  • Familiarity with Raiser's Edge or other donor CRM tools

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to a minimum of 20 hours per week and at least 135 days in length. Participation in TRS is mandatory.

A background check will be conducted on candidates under final consideration. The background check may include any or all of the following: criminal history check, prior employment verification, education verification, professional references check, and motor vehicle records check. Background checks are conducted by third-party vendors. Upon request form the third-party vendor, candidates under final consideration must provide the required information for the background checks to be completed.
