The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Columbia University Libraries is currently seeking applicants for the position of Supervisor, ReCAP Access Services & Borrow Direct in the Department of Access Services at the Butler Library. Butler Library, the largest of Columbia's libraries, houses collections in the humanities, history, government documents, social sciences, literature, philosophy, and religion. The building also houses numerous service points and special collections, including the Library Information Office, the Rare Book & Manuscript Library, and Research & Teaching Support Services.

As a member of the Access Services department, the incumbent will coordinate information and supervise activities related to the access and delivery of Libraries materials shared via Borrow Direct and collections housed off-site in the ReCAP facility in Princeton, NJ.

Responsibilities



  • Compile departmental statistics from ReCAP website, CLIO, resource sharing systems, and other sources regarding usage, growth, etc.
  • Design, compile, and disseminate analyses of statistical information.
  • Assist in development of usability measures.
  • In consultation with Head of Delivery Services, identify, plan, write processing documentation, and execute small-scale bibliographic and collection maintenance projects with staff members from other departments to remedy issues discovered during routine departmental functions (e.g. quarterly resource sharing status patron reports and orphan barcode clean-up).
  • Trains and supervises two full-time Borrow Direct staff and 12-15 student workers in support of Borrow Direct and ReCAP access and delivery tasks, including adjusting workflow and revising work to meet changing priorities and to ensure quality and consistency with policies.
  • Train staff and library users on ReCAP access and delivery policies and procedures, including circulation policies, and procedures for requesting and returning materials. Update/revise policies and procedures in consultation with Head of Delivery Services, and update documentation on library website, when necessary.
  • Coordinate communication with staff in the Libraries, ReCAP facility, and with the courier service regarding ReCAP-related operations, including internal movement of materials and supplies, pick-up and delivery of materials, turnaround times, and problems. Analyze sources of recurring problems and propose measures to correct.
  • Provide back-up assistance for ILL Supervisor, including basic knowledge of ILLiad. In the ILL Supervisor's absence provides administrative supervision for full-time ILL staff, including maintaining timesheets, coordinating schedules, and assisting the interviewing, hiring, and evaluation of staff.
  • Participate in Libraries professional staff committees, e.g. Access Services Coordinating Committee. Present statistical analysis and reports to committees such as Selectors Group, divisional staff meetings, etc.
  • Serve as a primary customer service contact for the unit. Provide point-of-need support to Libraries' staff and patrons. Troubleshoot access problems and service interruptions. Diagnose systematic problems.
  • Work with the Head of Delivery Services, other units of the Libraries, ReCAP and Borrow Direct partners to propose service improvements, systems enhancements, and new program activities, and to ensure follow-up on action items resulting from ReCAP Board, Borrow Direct Operations and planning group activities.
  • Other duties as assigned.


Minimum Qualifications



  • Bachelor's degree or equivalent.
  • 2-4 years of experience working with a library management system and a broad understanding of library operations, records, and systems.
  • Excellent interpersonal, verbal, and written communication.
  • Attention to detail.
  • Demonstrated proficiency using MS Office Suite (Word, PowerPoint, Excel, and Access).
  • Facility with statistical and data analysis.
  • Well-developed skills in prioritizing, organizing, decision making, time management, and project management.
  • Ability to work independently and collaboratively with a wide array of staff.


Preferred Qualifications



  • Cataloging experience or knowledge of MARC bibliographic and holdings record structure.
  • Experience with the Circulation and Cataloging modules of a library management system (Ex Libris Voyager preferred)
  • Experience with the Relais software for Borrow Direct.
  • Cataloging knowledge of one or more foreign languages.
  • Supervisory experience.
  • Coursework towards a degree in library science.
