Part-time Administrative Assistant

Summary

Responsible for supporting the work of the Saint Xavier University Health Center (HC) under the Center for Nursing Innovation (CNI) at Saint Xavier University. Provides daily support to all Health Center staff, working directly with patients to ensure exemplary customer service and patient care. Communicates with internal and external contacts to service patients following all HIPAA regulations. Positively contributes to the flow and work of the Health Center in promoting premier care to our patients


Essential Duties & Responsibilities

  1. Greets and admits patients to the Health Center and/or at off-site events.
  2. Completes registration process by: obtaining and scanning picture identification and insurance information, verifying and updating demographic information, obtaining a signed consent, and ensuring the completion of the health history forms.
  3. Verify insurance coverage for services on an as needed basis.
  4. Collect, post and reconcile all co-pays and self-payments at check-in.
  5. Scans pertinent information into Electronic Medical Record.
  6. Schedules appointments for the Health Center clients informing them of any special preparation and directions for their appointment.
  7. Verify medical records through state registry I-CARE.
  8. Assists with the triage of clients.
  9. Enters and maintains medical records and immunization history and filing system for all patients seen at the Health Center. Fulfills release of information requests.
  10. Sorts, screens, and distributes incoming and outgoing mail, drafts or prepares responses to routine inquiries, prepares photocopies and facsimiles and operates a variety of office equipment.
  11. Checks and responds to e-mails to the Health Center mailbox and drop box mail daily.
  12. Prepares a variety of WORD and EXCEL documents, which are sometimes confidential in nature.
  13. Orders and maintains inventory of office supplies and forms, coordinating jobs with Copy Cats as needed, and submit monthly meter readings from copier as needed.
  14. Ensures prompt unpacking and storage of all vaccines requiring refrigeration. Provide back up for temperature readings for vaccine storage.
  15. Maintain clean and organized waiting area, post new information as requested, and removes outdated materials.
  16. Responsible for securing and maintaining confidentiality of all patient files maintaining HIPAA rights for all patients.
  17. Assists in maintaining the cleanliness and serviceability of the facility and equipment; arranges for maintenance and repair as needed.
  18. Performs routine bookkeeping functions, which includes billing and cash receipt activities, the daily deposit report, and ensuring available cash on hand. Hand deliver deposits to SXU departments as needed.
  19. Assist in the coordination of patient referrals; follow up on obtaining specialist reports to maintain a complete patient chart.
  20. Register students for Health Center classes, collect payments for books, and assist with input of class rosters.
  21. Provides translation services to healthcare providers when needed.
  22. Contact medical facilities or departments to schedule patients for tests and/or admission.
  23. May instruct and oversee the activities of student employees performing the same type of work.
  24. Assists the Health Center staff with projects as needed.
  25. Presents an image consistent with SXUHC mission, philosophy, and standards of performance.
  26. Ability to work overtime and alternative shifts as needed.
  27. Performs other job duties as assigned.

Qualifications

High School diploma required, Associates degree preferred. At least 1 year experience that is directly related to the duties and responsibilities specified, preferably medical office experience. Strong computer skills required. Electronic medical record software experience preferred. Must be able to work with limited supervision. Excellent interpersonal skills and the ability to communicate with health care practitioners, payers and customers professionally and confidentially is a requirement. Applicants must possess a positive and enthusiastic attitude, and the ability to work effectively in a diverse community. Bilingual English/Spanish preferred.
Hours: 20 hours per week.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Requires the interpersonal skills necessary to exchange and gather information with compassion and confidentiality.
  • Word processing and/or data entry skills.
  • Ability to communicate effectively, both orally and in writing in English
  • Ability to communicate orally in Spanish strongly preferred.
  • Ability to understand and follow specific instructions and procedures.
  • Ability to perform simple accounting procedures.
  • Ability to maintain confidentiality of records and information.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to create, compose and edit written materials.
  • Knowledge of patient registration procedures, documentation and billing procedures.
  • Healthcare provider CPR required with biannual recertification.
  • Contacts are patients, physicians, vendors, co?workers, and billing office staff.
  • Performs work in an office with some exposure to health and safety hazards.
  • Job requires prolonged periods of sitting.
  • May require some lifting.
  • Proof of measles, mumps, rubella, varicella, and Hepatitis B immunizations and/or proof of immunity. Annual flu vaccine required.
