We are looking for an Associate Director, Graduate Enrollment Data and Slate Administrator, to join the Office of Faculty and Graduate Affairs in the College of Engineering at Carnegie Mellon University. This position will report to the Director of Graduate Affairs. The College of Engineering at CMU is an educational leader in many traditional and interdisciplinary areas of engineering. The college consists of ten academic degree-granting departments and three major interdisciplinary institutes with roughly 5,000 students and 750 faculty and staff across three global locations (Pittsburgh, Silicon Valley, and Rwanda, Africa). The Office of Faculty and Graduate Affairs oversees and supports all aspects of faculty matters and graduate education in the college and serves as a liaison between the college and its departments and the campus level.

The Associate Director will play a vital role in fostering collaboration between the college's existing centralized admissions application system and those of individual departments. By serving as the primary liaison, this position presents an exciting opportunity to build relationships across the college and university. Other responsibilities will center on retrieving, reporting, storing, and analyzing graduate student data from appropriate university and college databases and assisting with reporting strategies. The ideal candidate will demonstrate a keen understanding and appreciation for each department/program's unique admissions policies while working to implement and maintain a cohesive and nimble college-wide system. This role requires a combination of technical expertise, strategic thinking, and excellent communication skills to navigate competing priorities and foster positive relationships with both the internal team and department partners. The successful candidate will possess the confidence and interpersonal abilities to make well-reasoned decisions, always striving to create a seamless application experience for prospective students while balancing the needs of the college and its departments. A collaborative spirit and creative approach will be essential in this position, as the Associate Director works to support and enable the success of the college's graduate admissions efforts.

Core Responsibilities:

Slate CRM Management and Technical Expertise

  • Manage Slate functions to support admissions, recruitment, and enrollment management.
  • Troubleshoot and maintain CRM, software, and database systems.
  • Develop and maintain department assets such as query library, workflows, and Standard Operating Procedures
  • Manage system documentation, upgrades, testing, and troubleshooting.
  • Ensure data integrity, authenticity of admissions documents, and data transfers.
  • Utilize technical skills in SQL, JavaScript, CSS, and Liquid markup to enhance CRM functionality.

Process Optimization, Data Management and Analysis, and Solution Development

  • Facilitate centralized enrollment experience across a decentralized graduate admissions landscape.
  • Create and deliver solutions to minimize inaccuracy and aid in tool adoption.
  • Build tools, queries, and solutions for the College, admission processes, and campus partners.
  • Complete project lifecycles while staying updated on new technologies and enhancements.
  • Demonstrate program management experience to effectively lead initiatives.
  • Serve as a data expert and storyteller, building and running reports, analyzing trends, and providing actionable insights to optimize enrollment strategies and outcomes.
  • Collaborate with stakeholders to determine data needs, implement quality measures, and develop KPIs and dashboards for tracking and reporting.
  • Work closely with the Manager of Business Intelligence within the College of Engineering to ensure consistent and streamlined use of college-wide data, collaborating on data analysis projects and sharing expertise to optimize data-driven decision-making processes.

Collaboration and Stakeholder Management

  • Assist in discovery and planning phases for Graduate Admissions
  • Collaborate with departments on requests for updates or new functionality.
  • Work effectively with multiple partners and prioritize appropriately.
  • Participate as an active member of the Faculty and Graduate Affairs team.
  • Act as Engineering representative in larger discussions on policy
  • Collaborate with College Admissions and Recruitment Committees
  • Engage with the larger CMU community to understand the scope of responsibilities.

Training, Documentation, and Support

  • Document standard business processes and routine procedures
  • Provide documentation, testing, and staff training for new Slate features.
  • Lead cyclical training sessions for internal coordinators.
  • Support staff in developing queries, reports, communications, and forms in Slate
  • Assist with on and off-campus recruitment events and programs.

Strategic Planning and Innovation

  • Exercise autonomy to effect change within the department and college.
  • Contribute to long-term strategic planning for enrollment operations.
  • Identify and implement innovative solutions to improve processes and outcomes.

Qualifications:

  • Bachelor's degree (or equivalent education plus professional qualifications) required.
  • 3-5 years of experience with Slate by Technolutions (Slate captain status preferred)
  • Significant experience in higher education, specifically graduate admissions, preferred.
  • Strong program management experience
  • Excellent interpersonal, problem-solving, and organizational skills
  • Proficiency in technology, including SQL and JavaScript (CSS and Liquid markup highly preferred)
  • Attention to detail and passion for fostering student success through systems.
  • Proven ability to work effectively with diverse stakeholders.
  • Strong understanding of admissions policies, procedures, and student data
  • Intellectual curiosity and ability to understand the reasoning behind requests to provide optimal support.
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Requirements:

  • Occasional travel and work nights and/or weekends
  • Successful background check

Expectations:

  • In the first 6 months, the candidate will learn from various community stakeholders to understand the full scope of the role and begin implementing improvements based on this knowledge.
