Job Summary Reporting to the EVCP HR & Special Projects Director and joining the expanding EVCP Business Services Administration Team, the EVCP Analyst & Project Coordinator works in a busy, highly matrixed environment to coordinate and provide support for select EVCP Leadership.
The incumbent provides exceptional executive assistance and develops & administers systems for managing information, office operations, projects, and communications. They also function with a high degree of autonomy, and skillfully assists with matters of a strategic and/or sensitive nature. The incumbent will also play a lead role supporting the HR & Special Projects Director by coordinating work of the Administrative Officer staff, establishing timelines and tracking and developing tools to streamline work of staff. The individual will also help write and maintain SOPs/manuals for the team.
The incumbent manages and responds to a constant stream of requests that arise rapidly and require quick responses. This position communicates with other senior leaders and organizational units with professionalism and judgement. This position coordinates communications and data for leadership. This role oversees special and complex projects for leadership and their units. The incumbent works consultatively as well as independently in execution of initiatives and daily operations.
The incumbent will also assist in select project planning, development, administration, management, and implementation; and will interpret, monitor, and analyze information. This individual primarily deals with projects and proposals with broad impact across given EVCP unit and/or organization. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $101,600 - $157,500 (Annual Rate). Department Description The Office of the Executive Vice Chancellor and Provost (EVCP) serves as the central executive presence for the role of the EVCP and its immediate staff as well as the direct reports to the EVCP and Chancellor as needed. The office oversees sensitive, strategic, and often urgent issues, communications, and events on behalf of the EVCP and in specific instances the Chancellor. In doing so, the staff routinely partners with key internal and external stakeholders, including senior campus leaders, faculty, staff, trainees, donors, and government and private and public sector officials. The professionalism and effectiveness of the office is crucial to UCSF's operations and impact.
The EVCP Business Services organization provides centralized, strategic budget development planning and oversight, financial management, human resources coordination and administrative services to the direct offices of the Chancellor (CO), Vice Chancellor for Diversity and Outreach (VCD&O) and Executive Vice Chancellor and Provost (EVC&P) and their subunits, departments, and programs. Serving approximately 900+ FTE with an annual budget of over $200 million the services provided include program planning, strategic & detailed budget development, financial reporting, financial transactional processing, purchasing, and reconciliations as well support of human resources activities in coordination with the central campus human resources organization and access administration.
Required Qualifications
- Bachelor's degree and / or equivalent experience / training
- Five (5) or more years of work experience providing high level administrative support or related work experience (Post BA/BS)
- Minimum 5+ years of related experience (Post BA/BS)
- Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
- Advanced knowledge of common University-specific computer application programs
- Ability to use discretion and maintain confidentiality
- Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service
- Advanced service orientation
- Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni / donors, students and external constituents, both verbally and in writing
- Advising and counseling skills
- Ability to multi-task with demanding timeframes
- Ability to use a high level of discretion and maintain all confidentiality
- Small to mid-level project management skills

Preferred Qualifications
- Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
- Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
- Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
